Warehouse Supervisor, Administration & Billing, 3PL

 

The Warehouse Supervisor, Administration & Billing at DSV is responsible for overseeing the administrative and billing functions related to the warehouse operations. This role ensures accurate billing, efficient administrative processes, and smooth coordination between the warehouse and office functions. The Supervisor will manage a team, implement best practices, and maintain compliance with company policies and industry regulations.

 

Duties and Responsibilities

  • Oversee all administrative functions related to warehouse operations.
  • Ensure proper documentation and record-keeping for inventory, shipments, and deliveries.
  • Implement and maintain efficient office procedures and workflows.
  • Supervise the billing process to ensure timely and accurate invoicing.
  • Review and reconcile billing discrepancies and resolve any issues with clients or internal departments.
  • Ensure compliance with company billing policies and procedures.
  • Lead, mentor, and develop the administrative and billing team.
  • Assign tasks, monitor performance, and provide regular feedback and coaching.
  • Conduct performance evaluations and address any performance issues.
  • Act as a liaison between the warehouse and office functions to ensure seamless operations.
  • Coordinate with other departments to ensure accurate and timely information flow.
  • Communicate effectively with clients, suppliers, and internal teams.
  • Ensure all administrative and billing activities comply with company policies and industry regulations.
  • Implement and maintain quality control processes to ensure accuracy and efficiency.
  • Conduct regular audits and reviews of administrative and billing practices.
  • Prepare and present regular reports on billing accuracy, administrative efficiency, and team performance.
  • Analyze data to identify trends, areas for improvement, and opportunities for cost savings.
  • Provide insights and recommendations to senior management.
  • Identify opportunities for process improvement and implement best practices.
  • Streamline administrative and billing procedures to enhance efficiency and reduce errors.
  • Stay updated on industry trends and incorporate new technologies and methods as appropriate.

 

Educational background / Work experience

  • Bachelor’s degree in Business Administration, Finance, Logistics, or a related field.
  • Minimum of 5 years of experience in administration, billing, or office management, with at least 2 years in a supervisory role.
  • Experience in the transportation and logistics industry is preferred.

Preferred Qualifications

  • Certification in logistics or supply chain management (e.g., APICS, CSCMP) is a plus.

 

Language skills

  • Fluent in English (oral and written)

 

Computer Literacy

  • Proficiency in Microsoft Office Suite, particularly Excel and Word.
  • Experience with warehouse management and billing software.
  • Familiarity with data analysis and reporting tools.

For this position, the expected base pay is: $62,500 - $84,500 / Annual.  Actual base compensation will be determined based on various factors including job-related knowledge, geographical location, skills, experience, and other objective business considerations.
